Rental Contract

$275.00 deposit:

A deposit of $275.00 is required to secure the date of reservation and also serves as a damage/loss deposit. $250.00 is refundable within fourteen (14) days after the rental date if no damage or loss is sustained to the Grinter Heritage Center, it contents, or the grounds and all regulations as listed in this contract are followed.

Facility renting: Heritage Center Main Floor - $250.00 per day, ending at Midnight
Heritage Center Loft - $50.00 per day, ending at Midnight
Shelter House - $50.00 per day
Heritage Center Main Floor:
Heritage Center Main Floor rents for $250 per day, with the day ending at 12 midnight. The rental fee is due no later than 30 days prior to the scheduled event. If no payment is received 30 days prior to the scheduled event, the event may be cancelled at the discretion of the Grinter Place Friends, Inc. A service fee of $25.00 will be deducted from the $275.00 deposit.

Heritage Center Loft and Shelter House
A deposit of $10 is required to reserve either the Heritage Center Loft or the Shelter House to the southwest of the Heritage Center. This amount also serves as a damage deposit and is refundable on the same basis as indicted with the Heritage Center Main Floor rental. The rental fee is $50 per day. Rental fee and deposit must be paid no later than 30 days prior to the scheduled event. Cancellations will result in the loss of the $10 deposit.

Cancellations

Cancellations within 30 days of the event may result in loss of the rental fee unless The Heritage Center can be rented again for the same date. In which case a $25.00 service fee will be charged and deducted from the deposit refund. Cancellations prior to 30 days of the event will be subject to a $25.00 service fee and deducted from the deposit refund.

Regulations

  1. 1. The full deposit must be made when the facilities are reserved. This secures the date and serves as a damage/loss deposit. If an event is to be cancelled, it must be done no later than thirty (30) days in advance. Any cancellations after that may result in the forfeiture of the deposit unless GPF, Inc. can secure a rental contract for the same dates.
  2. 2. The rental check is due no later than 30 days prior to the date of your event.
  3. 3. Smoking is prohibited within the building. Due to the laws of the State of Kansas and our insurance, this rule must be observed. Non-compliance will result in forfeiture of your deposit.
  4. 4. Serving of alcoholic beverages, per City Code, requires a security guard. You are responsible for hiring and paying for this service. Security must be present during the entire event.
  5. 5. Beer kegs or any other source of dampness is not permitted on the wooden parquet floor. Please use a tarp and a tub on linoleum surface or place outside.
  6. 6. Tacks, nails, or tape are not permitted in the building. Wall decorating putty (tacky stick) is recommended. Removal of all decorations is the renter's responsibility.
  7. 7. Please call 911 if unwanted visitors arrive or in the event of an emergency. Should guests need a ride home, do not hesitate to call a cab.
  8. 8. All evening rentals require premises to be vacated by 12:00 Midnight.
  9. 9. Be energy conscious. After the event, set the thermostats at highest reading in spring or summer, and lowest reading in fall and winter, or in the direction of the outside temperature.
  10. 10. Please:
  11. Take all trash to the dumpster, located in the rear parking lot. Trash bags have been supplied and are either in the receptacles or under the sink in the kitchen.
  12. Flush all stools.
  13. Leave tables and chairs in a standing position.
  14. Remove your belongings. GPFI is not responsible for items left behind.
  15. Make certain all windows and doors are locked securely. Close all blinds.
  16. 11. Admittance charge, selling tickets, vending or resale of food or beverage is prohibited. (Exemption for non-profit, charitable groups is available with a 501 (c) (3) designation.
  17. 12. No confetti, rice, birdseed, sand, potpourri or similar substances may be thrown or used as decorations in or outside the building. Dance wax is also prohibited.
  18. 13. Special arrangements are available for non-profit community service organizations on availability and approval of GPFI Board of Directors.

Grinter Place Friends, Inc. is a non-profit 501 (c) (3) organization. All members are volunteers. Your compliance with the above regulations permits us to offer this facility at a lower rental rate than other facilities. Failure to comply results in additional costs which could affect a deposit refund or rental rates.

I have read the regulations as outlined above. I understand failure to comply will result in forfeiture of part or all of my deposit and liability for any additional costs incurred for cleanup, repair, or replacement. I understand that I am taking full responsibility for the care of the Grinter Heritage Center.
